S.A.B.A. For Integrated System operates this service. This page explains what personal information the service holds, why it holds it, and what it does not do with it. It describes how the system actually behaves rather than what it aspires to.

This text is also published in Arabic, as a translation. If the English and Arabic versions differ, the English version prevails.

Who is responsible for your information

Your employer decides that an appraisal will run, who takes part, and what happens with the results. S.A.B.A. For Integrated System provides and operates the software on your employer's behalf.

If you want your information corrected or removed, your employer is the right place to start, because they control the participant list. You can also write to us at info@saba-eg.com and we will help.

What information the service holds

Your name, your work email address, and the role and team information your employer supplies from their own records. The service has no other route by which an address can enter it: nobody can sign themselves up, and no list is bought, rented or collected from anywhere else.

The answers people give in a questionnaire, and the results calculated from them. Also a record of when a report was downloaded and by whom, because a document about a person should not be able to leave without a trace.

What your colleagues see, and what they do not

Individual answers are not shown to the person being appraised. What a report shows is a position — where an area sits relative to your other areas, and how your own view compares with the combined view of others. The underlying scores, averages and statistical measures are not part of the report at all.

Where too few people answered about something, the comparison is not shown, and the report says so in words rather than quietly leaving a gap. This exists so that a small number of responses cannot be worked backwards to identify who gave them.

Email we send you

Messages are sent only in connection with an appraisal you have been asked to take part in: an invitation, a small number of reminders while it is open, and a notification when something is ready for you. There is no marketing email and no newsletter.

If you should not be receiving these, ask your employer to remove you from the appraisal; that stops all further messages. If you report a message as spam, the service stops sending to you automatically.

Where the information is kept

The service and its databases run on servers in Finland. Access is limited to what an operator needs to keep the service running.

Encrypted backups are taken so that the information can be recovered if a server fails.

How long information is kept

Employee information and the answers people give are kept indefinitely. Nothing is deleted on a timetable, because a past appraisal is part of the record an employer keeps about work that was done.

Backups are kept on a fixed rotation: thirty daily copies and twelve monthly copies. Older backup copies are overwritten as newer ones are taken.

These retention periods are pending a legal question about erasure that has not yet been answered. If the answer changes what may be kept, this page changes with it, and we will say so here rather than quietly adjust it.
